Event in a Box budget

Many people here will recall that we previously discussed ComDev owning the “event in a box”. ASs a reminder this is a kit of “things” that are useful for projects that plan to put on an event of some kind. The details of which have been discussed on this list.

Melissa has completed a full inventory and costing for these materials, including insurance and shipping to various locations. Melissa will also manage the box in terms of replenishing consumable items and coordinating its shipping around the country.

I would like to request that ComDev own the budget for this item and help to ensure that it is effectively used across the foundations projects (I.e. help to ensure PMCs now of its existence). There is already an process for managing its use (in the old ConCom wiki) and the logistics have been worked out by Melissa.

Initially we planned to have a box in the US and a Box in the EU. However, the logistics of managing a box in the EU are more complicated. My proposal is only to budget for a US box at this time and, if necessary, seek additional funds for an EU box should a volunteer to manage it and demand emerge.

As a member of this PMC I am happy to take on responsibility for this, of course I would welcome help from others as well as expect the PMC to backfill as best as possible should I be unable to continue in this role.

I include the content list and estimated costs below.

Event In A Box $3110

  * Shipping $800

  * Consumables replenishment $330

  * Hard case $330

  * Equipment $1650

Based on 8 events in the year at an average shipping cost of $100 per event and replenishment of consumables as required.

Event in a Box content list:

Physical Content List:
Standard giveaways
Apache BarCamp banner (for BarCamps only)
Apache table skirt
Pens
Thick felt pens of varying colors
Blue Tack
Masking tape
Easel Pads (for schedule grid) (for BarCamps only)
Blank A4 paper (for schedule grid) (for BarCamps only)
Post-Its of various sizes
Name badges
Registration sheets – In box or have coordinator bring to the event???
Rubbish bags
Power strips …..how many and what kind (6packs)???? Depending on location, buy locally
Extension cords….how many and what length???? Depending on location, buy locally
Highlighters
Pack of various display port adapters
Travel converters

Its correct that we "only" talked about "european hub" (what a name!), but
I have plenty of storage space, so having a box alongside extra stickers
etc is no problem.

I assume its inches, and that it will be shipped around using fedex.

Is the size measured in cm or in? If it's inches, this will be quite
problematic to carry around Europe, no matter how much space Jan has at
home. If it is centimeters, this sounds definitely more manageable!

Jan, thank you for your email! Yes indeed - Jan has graciously volunteered to be the "European Hub"; however, we were basically talking in terms of stickers, promotional material, etc.  We did not specifically talk about the "EITB".

Nick - I had estimated the weight to be approximately 81 lbs.  Keep in mind, this is purely an estimate since I do not have the materials on hand!! The size of the case is 51x24x10, and IIRC the case alone weighs approx 20-25 lbs.

Could you clarify how big the box is set to be, and how heavy it's likely
to be? That might influence if we're able to rustle up an EU box volunteer
before budget time!

Thanks Jan,

I'm cross-posting this reply to the tac list just for info as I just made a
similar promise over there - but was less explicit (in the case of TAC I'm
cutting their request for support for 2x small events - leaving the
ApacheCon budget in place). Also X-posting to fundraising for info. I'll
come back to it in a month or two when I have the time to actually action
this work.

Recruiting a curier service would be a hit.

OK, so we have no objections and offers of help from the community in
Europe (thank you).

However, I am not going to include the budget in the first instance. The
reason is that other areas need a significant budget increase this year and
I need to keep the budget levels low elsewhere.

Instead what I am going to do is take it upon myself (with the help of
anyone interested) to recruit a new Silver or higher sponsor indicating
that their sponsorship $ will make the event in a box happen in both EU and
US. This wouldn't be directed funding but would be the difference that the
new sponsor will be able to make by signing up. That is, we can demonstrate
demand, provide a budget and provide measurable results that would not be
present unless they sign up.
