Question: Howto Google Season of Docs submissions

Hello,

In Apache Airflow we have some people who have some ideas around improving
our documentation and we would like to participate in Google Season of Docs.

https://developers.google.com/season-of-docs

We already participated in 2019 and back then it was agreed that the
projects should submit their proposals individually (not as Apache Software
Foundation but as Apache Airflow) because that increased the chances of
getting more projects (there were limits of projects per organisation).

However looking at the FAQ [1], there are significant changes this year and
they require much more of an "organization" to manage - i.e. Google will
give grants to the organisations, and the organizations are supposed to pay
the writers. So it is much more "formal" and I am not sure how it plays
with the ASF rules.

Is there anyone who could help with that?

Here is the relevant part from the FAQ:

How does the current program differ from Season of Docs 2019 and 2020?
The current Season of Docs program has significant changes from prior
years, including:

* Technical writers no longer apply through Google to be matched with
organizations
* Organizations submit project proposals as part of their application,
including a budget and proposed metrics
* Accepted organizations receive grants, which they use to pay technical
writers
* Organizations submit final evaluations and case studies

Re: Question: Howto Google Season of Docs submissions

Posted by Zhiyuan Ju <ju...@apache.org>.
Hi,

I have submitted "the 2022 Season of Docs: Organization Application
form[1]" 2 weeks ago, but I couldn't find related records from this form or
any feedback from organizations.

How to confirm if my submission was successful?

For now I just presented my candidacy, it's up to the board to take a
decision on that matter.
In any case I'm happy to help Craig or Myrle with that.

Re: Question: Howto Google Season of Docs submissions

Posted by Jarek Potiuk <ja...@potiuk.com>.
Just to summarize the current state for anyone who would like to participate.

1) We continue to have a discussion in legal-discuss about the way we
could do it and it seems that it is doable.
2) If anyone else wants to submit their project - GSoD confirmed that
we can make one submission per ASF project (so we are not limited to
one Technical Writer for the whole ASF) - that will have us and Dinesh
happy - but also others might participate.
3) We have 9 more days for submissions - so if anyone wants to submit
a project, this is now rather likely it might be possible, so start
thinking and preparing your submission now :).
4) We have two ways how to approach (after discussion with Greg Stein
from infra and some responses from GSoD):

* From Greg: We should be able to handle mechanics by Infra if needed
* From GSoD: It seems that we could do it all without actually going
through ASF accounts - we could open an open-collective account. And
the funds could go through Open Source Collective
  https://developers.google.com/season-of-docs/docs/org-payments

The option with Open Collective seems to be much more straightforward
(especially that we have Roberto on board :) .
We have discussion at legal-discuss to confirm it:
https://lists.apache.org/thread/f386obw4gvdcr1r3myzh58ysr5l9tmpo

Once I get confirmation, I will establish the mechanics of it and let
everyone know.

Re: Question: Howto Google Season of Docs submissions

Posted by Jarek Potiuk <ja...@potiuk.com>.
I don't have the link to the programme, but I think the big difference 3
years ago was that we could simply sign-up, get the person approved and
Google Season of Docs managed establishing the "legal" relationship and
payments. I will ask at the legal-discuss - good idea (I will CC: you and
Dinesh then.

Sure Jarek, I'm happy to, even if I didn't have a chance yet to talk to
Craig and I'm not sure what my involvement would be.

I had a look at the available documentation and I guess Legal should have
the last word on this matter, IANAL at a first glance seems ok to me.

In case we'd decide to apply we need to have an OpenCollective account and
I could definitely help with that, being an OpenCollective host myself for
a couple of years.

Re: Question: Howto Google Season of Docs submissions

Posted by Jarek Potiuk <ja...@potiuk.com>.
Yeah, The problem is that they now require the organizations to Pay (at
least in GsOD). So anyone who steps up needs to know first if this is at
all possible within the ASF as an organisation (when we submit the project
we confirm that the organisation is OK with accepting the terms, so without
someone confirming that, it might not be possible.

Roberto,

Maybe - seeing you stepped up as assistant treasurer :) - maybe that
would be a first thing for you to take a look at ? We do not know if the
new rules from Google Season of Docs are possible to handle by the ASF:

https://developers.google.com/season-of-docs

How does the current program differ from Season of Docs 2019 and 2020?
The current Season of Docs program has significant changes from prior
years, including:

* Technical writers no longer apply through Google to be matched with
organizations
* Organizations submit project proposals as part of their application,
including a budget and proposed metrics
* Accepted organizations receive grants, which they use to pay technical
writers
* Organizations submit final evaluations and case studies
