Booth at GOTO Chicago

Hey all,

I reached out to GOTO Chicago for info on doing an Apache Booth there.
They got back to me with pricing, but seemed really interested in having us
and like immediately were saying it was totally negotiable / they'd work
with us.

The quoted cost is $10k, not sure if it's worth even pursuing- all I can
say is that I can work the booth in Chicago.

Does a budget exist for this? Have other for profit conferences given us
any discounts? Should I just tell them, thanks but that's way out of our
price range?

I never thought much of this conference, but it was on that list of top-10
tech conferences that was pushed out a few weeks ago so I started to do
some research on it.

You both have edit access to the Comdev wiki now and I've created a new page for you

https://cwiki.apache.org/confluence/display/COMDEV/GOTO+Chicago+2018

Please let me know if you have any problems.

Well, I have access after resetting my password. But it's just single
space for Apache Geronimo space , a project I contributed .Appreciate if
some from the list could help to create a "Space" for GO-TO and add me in
.I can't take up the next steps.

Cheers

Re: Booth at GOTO Chicago

Posted by Daniel Ruggeri <DR...@primary.net>.
Same here, if needed.

Thinking out loud, with Trevor being local to Chicago and knowing that at least two active members of our community (Bill Roewe and Bob Paulin) are also based there, he is probably the better fit for ease of transfer alone. Plus... Chicago sees more events than humble St.Louis does no matter how you slice it :-)

Re: Booth at GOTO Chicago

Posted by Trevor Grant <tr...@gmail.com>.
Hey,

Booth goes up the 25th (or I might set it up the evening of the 24th, will
talk to GOTO about that).

It's a pretty normal booth afaik, we're just gonna hang out and tell folks
about the ASF.

I've got the banners and flyers.

Hi Daniel ,
Is the booth setting up on 24th or 25th ? , also appreciate if some one
could brief on booth duties if it ‘s deviates from other conferences .
This is my first time booth duties in a goto conf.

Hi Daniel

I have an update. We can sort out ordering the table cloth with the Apache logo and need an address to ship it to. I think it might be a bit late to get it ready for GOTO Chicago - so should we look at shipping it directly to you? If so then please contact me offline.

Thanks

Brilliant - great to hear. Thank you so much, Sharon! We have plenty of time to replenish any items before OSCon.

Total side note, I may be at Open Source Summit in Vancouver (CFP hasn't closed yet) come August. If I am, and the organizers are amenable to the idea, I'd also be willing to organize a booth there.

Hi Daniel

Yes, a couple of roller banners have been ordered (a feather one and a list of project logos one) and delivered to Trevor. He also received some Apache flyers and Apache stickers. We can do quick stock check for stickers and flyers to see what is left over after GOTO Chicago to see if we need to order any more for OSCON.

I think Melissa had a booth tablecloth (table skirt) for events so will ping both her and Sally to find out.

Thanks
Sharan

Hi, Sharan
Have you had any luck with the idea of getting roller banners made up? I think after Trevor is done with them, I'd like to use them for OSCon in Portland mid July. Same for any booth tablecloth/banner type things (and maybe the awesome backdrop we have of our many project logos?).

Hi All

Just following up on this. The stickers have been sent to Trevor but we still haven't had any response on banners.

I'm investigating the option of getting some roller banners printed for the event. If we do get some done, then we'll need someone to look after them for this and any other events in the region. Are any of the GOTO Chicago volunteers interested in being our local Apache banner person?.

Thanks

Re: Booth at GOTO Chicago

Posted by Daniel Ruggeri <dr...@primary.net>.
I tried to add myself as a backup volunteer and realized I don't have an
account. After creating an account, I cannot edit the page. How does one
get Karma to the comdev wiki? Is this open to PMC only? My account is
the usual 'druggeri' account name.

Page in question:

Hi Trevor

Do you need any stickers etc?

If you need any general information, then we have printable pdfs of the ASF information brochure in various languages at the link below:

https://cwiki.apache.org/confluence/display/COMDEV/ASF+Information+Brochure

Also do you know if anyone close by have any ASF banners etc?

Thanks
Sharan

+1! Thanks for the initiative!

I'm in St. Louis and would be willing to absorb the T&E to join for booth duty if you have any issues finding folks to cover.

Re: Booth at GOTO Chicago

Posted by Trevor Grant <tr...@gmail.com>.
Thanks Kanchana,

So I've been talking to GOTO for the last couple of weeks- we will be able
to have a booth there. No charge (explicitly, I have a couple of meetups
in Chicago I co-organize, GOTO is going to co-sponsor some meetups leading
up, etc, etc).

Would like to maybe start a wiki page on who can work the booth and when
(similar to how we did for FOSDEM)- I still need to find out from the
people at GOTO, how many ASF members we can let in to work the booth.

At any rate, I'm pretty stoked this worked out.

Excellent idea, and thanks for working on this kind of stuff!

No, we have not paid for booth space at conferences, as far as I recall.
As a non-profit with limited budgets, we need a very specific reason to
pay for things like this; merely having a booth is not something the ASF
would likely pay for.

The majority of times there's an interesting conference where we have
the volunteers to staff it, and the conference organizers are truly
interested in having an Apache presence there, they end up giving us a
booth free as a non-profit. So going back to them to ask about how they
treat non-profits is likely the next step, if you're up for it.
