+each Derby manual is sourced in an XML implementation called the Darwin Information Typing Architecture, or DITA.  The original HTML source for the Derby documentation was converted to DITA to create an easy solution for requirements such as creating PDF outputs or single HTML files for each manual (See the 
+<a class="external" href="http://mail-archives.apache.org/mod_mbox/db-derby-dev/200410.mbox/%3c200410071315.32497.Joel.Rosi-Schwartz@Etish.org%3e">Derby 
+documentation in PDF format</a> thread).

+<p>This page lists the software required to convert the DITA-sourced documentation into HTML or PDF, and describes how to convert the DITA source to the desired outputs.  These instructions describe how to use an <span class="codefrag">ant</span> build file with the DITA Toolkit to create output.</p>

+     Add these DITA file types to your configuration file:

+<p>To set up your environment for creating output from DITA-source:

We will call the extraction home directory <span class="codefrag">%DOC_ROOT%/trunk</span>.  For example, after extracting, the <em>Getting Started with Derby</em> DITA files would be located in <span class="codefrag">%DOC_ROOT%/trunk/src/getstart/</span>.

+<p>Place the downloaded DITA-OT1.1.2.1_bin-ASL.zip file into the lib directory where you have checked out the DITA source files, <span class="codefrag">%DOC_ROOT%/trunk/lib</span>. The first time you build one of the manuals, Ant will extract the DITA Toolkit to the <span class="codefrag">%DOC_ROOT%/trunk/</span> directory.  After extraction, the DITA Toolkit files should be located in <span class="codefrag">%DOC_ROOT%/trunk/DITA-OT1.1.2.1/</span>.</p>

+<p>Install Apache Ant, and make sure to follow the <a class="external" href="http://ant.apache.org/manual/index.html">instructions</a> for setting your environment variables.</p>
+If you encounter problems with running out of memory on the doc build, 
+set the

+<p>The simpliest way to determine the name of the file that contains the information that you want to update is to:</p>

+<p>Go to the Derby Documentation <a href="http://db.apache.org/derby/manuals/index.html">Overiew</a> page.</p>

+<p>Under the section <strong>Latest Alpha Manuals</strong>, click the link for the HTML Pages for the manual that contains the information that you want to update.</p>

+<p>An outline of the manual topics appears on the left side of the screen. Use the outline to find the topic that you want to update.</p>

+<p>In the outline, right-click on the topic name and choose <strong>properties</strong>. The name of the file is at the top of the dialog.  The address (URL) contains the path and name of the file. For example, if the address contains <span class="codefrag">http://db.apache.org/derby/docs/dev/getstart/cgsquck19524.html</span>, the fliename for the topic that you want to update is <strong>cgsquck19524.dita</strong>

+<p>DITA is an XML specification.  You can edit DITA files in any text editor, but XML editors allow you to insert and modifiy tags easily while conforming to the DITA DTD and schemas.  It is HIGHLY recommended that you use an XML editor to avoid errors in tagging.</p>
+<p>There are many different XML editors available at various costs and some for no cost at all. Make sure to read the licenses for any XML editor you use to modify Derby DITA documentation. Some XML editors include:</p>

+<li>Enter the desired <span class="codefrag">ant</span> command on the command line using the following syntax:

+The <span class="codefrag">&lt;output_type&gt;</span> is the format of the output you wish to create.
+The options are HTML, PDF, or monohtml.  The <span class="codefrag">&lt;manual_id&gt;</span> is 
+the id of the manual that you want to output.  The id is the same as the name 
+of the directory containing that manual's DITA source files in 
+<span class="codefrag">%DOC_ROOT%/trunk/src/</span>. A list of the ids are shown in the table
+below. For example, to create PDF output for the 
+<em>Getting Started with Derby</em> guide, enter the following command:

+To create PDF or HTML output for ALL SIX manuals at once, specify the output 
+type with no manual. For example:</p>

+<p>To create all three output formats for just one manual, enter the manual 
+with no type. For example, the command shown below builds PDF, HTML, and MONOHTML
+for the <em>Getting Started with Derby</em> guide:</p>

+<strong>Note:</strong> <span class="codefrag">monohtml</span> creates a single HTML file for 
+the manual you specify, while <span class="codefrag">html</span> creates multiple HTML files 
+with a navigation tree.</p>
+<p>The output files will be built by the ant file and placed in the 
+<span class="codefrag">%DOC_ROOT%/trunk/out/</span> directory.  If any of the software is not 
+set up and configured correctly, the build will fail.</p>

+<p>Dita files are named to provide a sense of what type of topic they contain as well as to which manual they belong.  All DITA topics are classified as either concepts, tasks, or reference material.  Thus, every file begins with either a "c", "t", or "r".  In addition, the letters that appear immediately after this first one provide a shorthand id for the manual.  For example, the <span class="codefrag">Getting Started with Derby</span> manual uses "gs", so a reference topic DITA file in that manual will start with "rgs".  Subsequent letters in the file name may provide hints at the topic's section within the manual, as well as numbers distinguishing it from other DITA files.</p>
+<p>It is suggested that any new DITA files that you may add follow this naming scheme to maintain organization of the files.</p>

+<p>You may wish to modify the output created by the DITA Toolkit to fix organization, formatting, links, indexing, etc.  To do this, you will have to modify the xsl files distributed with the DITA Toolkit.  The instructions for which files to modify and how are included within the Toolkit documentation.  To modify the PDF output, it is recommended that you make changes only to the <span class="codefrag">dita2fo_shell.xsl</span> file.</p>

+You are invited to submit your modified xsl files to <span class="codefrag">derby-dev</span>.  If you wish to use a modified xsl file, just replace the version of the file in the toolkit with the new one.

+by the people making documentation contributions. This checklist contains
+items that should be reviewed (and updated) before each new Derby release is 
+approved and goes live.

+<h2 class="boxed">Update the conrefs files</h2>

+<strong>WHEN: After each new release is made public</strong>
+
+<br>
+The conref files for the Derby manuals need to be updated so that the 
+Alpha versions of the manuals reflect the next release number.  
+This task needs to be completed for each new minor and point release.
+</p>
+<p>
+To complete this task:
+</p>
+<ol>
+
+<li>Ask on the derby-dev list what the correct release number is (minor
+or point).</li>
+
+<li>Create a JIRA issue for this task. </li>
+
+<li>Open the conrefs files for each Derby manual. For example: devconrefs.dita </li>
+
+<li>In the "Version and release numbers" section, change the ph tag for
+shortversionnumber. </li>
+
+<li> If this is a new major release, for example from 10 to 11,
+in the "Product specific entities" section change the ph tag for
+productinstallname.  </li>
+
+</ol>
+<p>
+If a new manual has been added to the Derby documentation set, you must list the
+new manual in the "pub" section in each conrefs file.

+<strong>WHEN: Before each new point release is made public, such as 10.3, 10.4</strong>

+Some of the examples in the manuals contain specific 
+date references. For the documentation to be current, these references
+need to be updated each release.

+In the <strong>Working with Derby</strong> 
+manual, the following files need to be updated:

+
+<li>twwdactivity2.dita</li>
+

+Each new dita file that is created must contain licensing information 
+at the top of the file. This information is internal and does not print out.
+The template files contain this hidden licensing information.

+If you used the DITA topic templates to create your new files, the licensing
+information should appear at the top of the topic in your editor. If you did not 
+use the template files, you must paste a copy of this information into each
+new topic that you created in this release. The templates 
+are located in the <strong>\trunk\templates</strong> directory.
+</p>

+Additionally, each manual must display copyright information at the beginning
+of the output along with a date. The date should be updated as necessary.
+Sometimes the wording of the copyright changes. Check with <a href="../derby_mail.html">derby-dev</a>
+for any updates to the copyright wording.

+If the licensing wording needs to be changed in all of the files, you can use
+the following steps to update the topics and the generated output:

+For each manual, there is a ditamap file which contains a <strong>copyryear</strong>
+tag.  The tag displays 2 years, the first year the content in the manual was 
+developed and the last year that the content in the manual was modified. 
+If any file in a manual is updated during the year, the second year in the 
+<strong>copyryear</strong> tag must be updated.

+For example, if the tag has "copyryear year="2002,2006" and the contents are
+changed in 2007, you must update the second year so that the tag reads:

+<strong>Statement</strong> should be used only for actual SQL statements, 
+such as these statements:

+   ALTER
+   CREATE
+   DELETE
+   GRANT
+   INSERT
+   SELECT
+   UPDATE
+</pre>

+<strong>Clause</strong> should be used for parts of SQL statements, 
+such as these clauses:

+   FROM
+   GROUP BY
+   HAVING
+   ORDER BY
+   WHERE
+</pre>

+<strong>Parameter</strong> should be used to describe SQL values that are 
+being passed into and out of procedures.
