NuttX Workshop 2024 - event planning
Hi all,
A new year started and we should start planning for the yearly workshop
This year Sony offered to host the workshop in Tokyo, Japan as it as planned on 2020 (the in person event was canceled due to Covid)
Sony proposed the following periods for the event and will come back with practical information for attending the event
20 May - 16 June (better weather/beautiful nature)
1-15 September (may be rainy)
I would like to ask for volunteers to help organizing the event and opinions regarding the dates
Best regards
Alin

Hi Tiago,
I think that both May and June provide enough time for the event but we
should check when people would like to travel

Alin, you can count on me to organize the event.
About the dates, I think that for May we don't have time to organize it,
but in the middle of June would be possible. I think the attendance would
be higher in June than in September, right? What do you think?

Hi all,
in this dev thread I can be blamed for the "short" name since we are under
an Apache mailing list and I keep is simple.
Apologies for that!
For the event itself we will use the proper name and I will ask tomorrow
for the permission to organize the event .
Thanks for spotting the error. It will be fixed ASAP.
Best regards
Alin

The names NuttX and Apache NuttX are both names that are trademarked by
the ASF. That certainly can be used for external events, but not
without explicit permission from the ASF:
https://apache.org/foundation/marks/resources
https://apache.org/foundation/marks/events
"The VP, Brand Management, or the VP of the relevant Apache project,
must approve the use of Apache marks in any events run by third parties.
This includes conferences, meetups, get-togethers, and any other types
of events. Events must comply with this policy and have permission to
use Apache marks in the name of the event or in any of the primary
branding, including website domain names, for the event."
In any event, we must have such permission to use the trademark for any
event at Sony. It is a legal requirement.

Good question Greg!
I think it is this way for legal reasons: this is not an event released or
promoted by Apache Software Foundation (ASF).
And although the official name of the project is Apache NuttX, we can't use
the Apache NuttX Workshop, because that would emphasize an Apache event,
but it is a community driven event.
Maybe in the future this event could be driven by ASF, like Linux
Foundation does.

Shouldn't this be "Apache NuttX Workshop 2024" instead of "Nuttx
Workshop 2024". Apache NuttX is the full, legal name of the RTOS; Use
of NuttX alone is considered ambiguous and is discouraged by the ASF.

Hi Alan,
From my knowledge there are no conferences in that period in JP. AFAIK the conferences are at the beginning of December and everybody is busy to attend or organize them.
Considering vacation plans in Europe and I still think that 10-17 Jun would be a really good period. I will send the invitations for this Friday then we can talk live and decide if this date suits us all.
We already have the new logos for 2024 and I will run the website through a colleague (professional editor) to update it for 2024. The aim should be that latest on Monday we have a date for the event, dates for CFP and basic travel information for attendees.
Best regards
Alin

Hi Alin,
I used Google Flights to comparece prices and the values are basically the
same from May to August.
If we have some bigger embedded/computer conference happening in Japan
around that time, we could put NuttX Workshop just after that, this way
people could participate in both events.
Let us define the date soon to give people enough time to submit proposals
and organize the flight.
For the Internet, while visiting my company in Canada I discovered
something very useful: install Airalo app and buy an eSIM with a low cost
Internet plan.
For Japan they have the lowest plan of 1GB data valid for 7 days for just
U$ 4.50 or 10GB valid for 30 days for U$ 9.00.
Best Regards,
Alan

For every event we had weekly meetings to plan the event. For all past events those meetings were hosted Friday 19:00-20:00.
I will send the invitation ASAP for the meeting to all people that expressed interest to help with the event.
I propose that we start the meetings this Friday if this works for everybody

On the other international conferences that I help to organize and
execute we have an online all-hand-on-deck meeting every two weeks for
several months in advance.. while closer to the event there may be
more meetings as required.
We can use google calendar + meet + docs.. or we could use existing
Discord server for meetings?
How about initial meeting this week? What would be preferred day and UTC time?
Wednesday around 20:00 UTC would be best for me but I can adapt :-) I
am CET (UTC+1) and in summer time CEST (UTC+2) timezone (Warsaw Time).
I can also help in updating the even website :-)
Tomek
ps/2: Twitch.TV platform gets popular and I think we should create
NuttX profile there and also use for live stream in addition to
YouTube?

Hi all,
time is flying and we are almost at the end of January
I think that we should have a live meeting to plan the website and open the
CFP to give people time plan the trip. I would recommend to host the event
Thursday-Friday to avoid the jet-lag and encourage local participation .
What do you think ?
I gathered some practical information that should be shared ASAP
*Flight*
According to https://www.momondo.se most common airports have a lower price
during 10-17 Jun (Monday - Monday trip) if people want to attend the
conference and spend some time in Tokyo or visit Japan.
There are 2 major airports Haneda(close to the city) and Narita (1H15 with
the Narita Express train to the city)
*Accommodation*
My colleagues from Sony checked the hotels and provided a good
recommendation at https://www.princehotels.com/shinagawa/ (5 Minutes walk
to the train station)
Other options are https://www.airbnb.com and booking.com to find something
that suits your taste
*Mobile Data*
internet is vital for all of us and can be expensive for visitors. It is
commanded to buy a 10 Days Data only SIM from the airport (if you forget to
buy ask Alin Jerpelea for opportunities to buy the SIM)
*Transportation in Japan*
Proffered transportation is train. for payments you can buy tickets or
install the SUICA application on your phone to pass the train station gates
English language can be used in Tokyo to communicate with people on the
street if you need directions
If you plan to attend the event please plan in advance to benefit from
lower prices and keep us informed so that we can plan the venue and the
activities. (+1 is encouraged if you plan to enjoy Japan)
Best regards

Re: NuttX Workshop 2024 - event planning
Posted by "Alan C. Assis" <ac...@gmail.com>.
Hi Alin,
Thanks for confirming that Sony will be able to host our VI NuttX
International Workshop!
I think summer (after May) will be nice!
So, although it is enough time, we need to define the date soon, because
for people far from Japan the flight could be very expensive because we
delay buying it.
I hope we need more people involved in the event organization because it
takes a lot of time and energy. As usual I'm here to help!
BR,
Alan
