Press release for our eventual graduation?

Hi all,

Anyone want to work with press@a.o to get a press release ready for an
eventual graduation announcement?

We aren't sure if we are on the board's agenda for this month yet, but
I'd assume that it's going to be this month or next.

It would be nice to get some marketing activity pulled together for an
eventual graduation announcement!

That would be perfect.

I post to the ASF General blog --i.e., the press release itself-- but if the Project wants to add a more technically-focused post as well, that would work. In fact, more technically-oriented press prefer a bit more detail on some of the announcements. Seeing this is a TLP/graduation announcement and not a project release, we should be OK with just the press release.

I have a press & analyst list that I also disseminate to when I send the announcement out over announce@apache.org

In select instances I have also sent the announcement out under embargo to a subset of that group as well.

You are on the agenda. So we can do two things: a) formally announce on Thursday (not preferred, as we might not get good coverage), or b) formally announce on Monday (still good for international coverage; would be better if we sent something out under embargo to our "friendlies" a few days before).

Yes - we can supply you with a near-final draft to work with, and then
if you have any changes we need to make, that's cool. 

I assume we'll still handle posting to the CloudStack Apache blog, etc.?

Will you be doing any specific outreach to press? For the
4.0.0-incubating release, we came up with a press list and contacted
folks directly who might usually write about cloud topics. Not sure if
Apache does any "pushing" to press or mainly handles incoming requests.

Indeed. My preference is the Tuesday-Wednesday-Monday order for disseminating announcements, but Monday would work in this instance. I'd like to give a small subset of our media/analyst contacts a heads-up beforehand here, and possibly provide them with a draft of the press release under embargo a few days beforehand so they can pull quotes, etc.

It comes out via email shortly after the call is done. The reality is that the press/public might see this once the info goes live (some members of the general Apache community tweet/blog "hats off" notes of support, irrespective of what we'd prefer, and the press pick up on that). We should be OK as long as we announce within the same week.

Sure. The problem, though, is when projects put it out on their blog or
whatever and it looks like The Announcement - gets a little bit of
coverage, and then is followed some time later by The Official
Announcement. 

I've been on the other side of this before, when I've seen the info on
the -announce mailing list or something, and then seen an official press
release some time later. This is for code releases, though, not TLP
graduation.

Board minutes get sent to committers@
Tickets will be filed for all of the infrastructure tasks (public
lists, there will be list and git repo changes - and some of those
will begin well nigh immediately.)

Mind you, that isn't announcing, but I suspect that it won't be a
secret from anyone who wants to know/cares.

It means we are a TLP, and have to start the process of executing the
infrastructure related migrations.

This is a bit of a "soft transition" in practical terms.  See [1] for
some info about the process post board vote (assuming acceptance).

No longer unknown.  It was just confirmed that our proposed graduation was added to the agenda for Wednesday's board meeting.  Obviously we can't be certain of the result, but at least there is a target for when we *may* be allowed to graduate now.

It's official as soon as the resolution has passed, from there on it's up to the project to determine what they want to communicate to the world and how.

You will be notified in the following ways:
- anyone at the meeting is welcome to share it immediately
- Doug sends a summary of the meeting to all committers
- some period of time later (depending on workload), new chairs get some information from the secretary

As David said in follow up, I wouldn't worry about "containing" the news. Anyone on this list or dev@ should know what's going on now, and be notified as soon as possible after the meeting. You can make your formal announcement to the rest of the world on a reasonable timeline you define.

Please work through drafts / comments on the cloudstack-marketing list

OK, I'm going to get something together tomorrow. Will share on marketing list as soon as its ready, then we can pass on to Sally once done


On the "how" to release, it sounds like, after the vote, that this is going to be drip fed out through other channels and that theres nothing we could do to stop that.
Therefore, my suggestion is to announce as quickly as possible after the vote.  We should create a PDF and wiki version of the release.

On the "how" to release, it sounds like, after the vote, that this is going to be drip fed out through other channels and that theres nothing we could do to stop that.
Therefore, my suggestion is to announce as quickly as possible after the vote.  We should create a PDF and wiki version of the release.

Yes: I put the announcement over the ASF's newswire, Foundation blog, Twitter feed, and announce@ accounts.

I'll copy the PMC as well.

Don't forget: cloudstack.apache.org is ONE THING WE NEED TO MAKE SURE IS READY PRIOR TO GOING LIVE :^)

Please post text to -marketing as a starting point, then we can present
something that's close to final to Sally. 

Given that we have a place on the meeting agenda now, we should have
this done in quick order. How soon can you do a draft?

Everybody else on this list: hows best that we work together on this?: shall I post some text on list in as a starting point  to solicit comments & review BEFORE I get something to Sally ? or would folks rather that I work with Sally and then bring it back to this list ?

If you do take this on, look at the foundation blog [1] for examples of 
graduation press releases (ex: [2]).

OK, not really... but I can take it or you can, doesn't make a
difference. In the past we've written a draft and then sent to the
mailing list for comment - so doing the draft also involved taking point
on the feedback + incorporating that.

Yeah, I can do that. I'm CC'ing press@ to loop them in. Not sure if
Sally usually drafts releases for graduating projects or if the project
drafts it and then Sally edits/etc.
