Draft Proposal for FOSDEM Devroom
Hi All
I have started to put some details together for the FOSDEM devroom request on the wiki.

Please feel free to take a look and let me have any comments or feedback. As you will see, it is still a work in progress so I will continue to work on it over the next few days.
We have the option of a half day, full day or both days. A two day track would need around 16 hours of content so we'd need to be sure we could fill this otherwise I could select one day (as half a day seems is a little too short I think!)
Although the submission deadline is 20th September it is always good to get it done earlier so will aim for the 18th :-)

I'd strongly advise against food in dev rooms that. Please take a look at pictures from previous editions to understand why.
FOSDEM is a volunteer run, 10k event in a university using lecture and seminar rooms for talks, not a high profile event in an expensive hotel. If you want to talk over food in a quiet area you should book time with sponsors ahead of time off campus in some nice restaurant.

I've sent in the FOSDEM devroom request so now we'll need to wait to see whether it is accepted. The deadline for notifications is 2nd October so as soon as I get their response I'll let you know.

Hi All
I've updated the proposal yet again. Based on the feedback I'm going to call the devroom the Apache Software Foundation Collaboration and Community Lab (or ASF CoLab for short).

The main focus will be to provide a common space to:
- engage with users, contributors and committers from any of the ASF project communities
- encourage cross collaboration and knowledge sharing across Apache projects
- promote a healthy open source development culture
- disseminate information around common themes that are of interest to Apache and open source projects in general
- attract new open source contributors by providing introduction to projects and technologies
- collaborate and build relationships with other open source foundations and institutions

At the time I wrote the idea, I did not pay any attention to the
location just whether something like that was possible. It sounds like
non-alcoholic beverages would be a better choice and please ask /
confirm with them if that would be ok and I'll plan for that.

It's not so much whether we're competent, as it is what does the
university and conference allow. They had some reservations about "free
alcohol", and want us to contact them for a more in-depth response
(they'll have to mull it over).

The legal drinking age in Belgium is 16 for alcoholic drinks with less
than 22%. According to Wikipedia it's also rarely enforced. I'm not
suggesting we start handing out shots to 12 year olds. But with some
good faith effort, this may not be the problem it would be in the US.

All the rooms are free which is why there is such a high demand for
them. The location is in a university so the rooms can vary a lot from
lecture theatre size (which I think they keep for the main tracks) and
to various smaller sized classrooms. I can ask the organisers the
question about holding a beer/wine/cheese event to see if that OK just
in case there are any restrictions.

Of course. I saw you wanted it to be a less techy devroom so to be
clear, I plan to be there and the idea of a 1 or 2 hour beer/wine/cheese
type thing paid out of fundraising budget has interest as a good idea to
me. Lots of questions like: if we have a room, how much will the event
charge for us to do it, are we in a closet sized room, etc. :-)

Perhaps a 2 hour block for something to discuss meritocracy and sponsorship with a social edge. Are we able to have food and drink in the room? Wine and beer and cheese or something might be nice for fundraising. Advice appreciated.
